Medical Weight Management Terms and Conditions

Weight Management Services

All Strathearn Health and Beauty Ltd online service are overseen by the Clinical Director (clinic doctor) and senior management. The online service has been introduced for patient convenience and safety.


Professional standards and qualifications

The weight management service involves information, advice, and treatment in the weight management service and all our patients while on a programme are monitored to ensure safety and best possible results. The service is provided by qualified doctors who are registered with General Medical Council in the UK. Strathearn Health and Beauty is registered with Healthcare Improvement Scotland (regulatory body for independent healthcare providers).

Booking

Patients are required to complete a medical questionnaire with up loaded Photo ID in order to access their suitability for the programme. Existing patients who are returning after an interval period of 3 months or who have had a change in circumstances (new medication, health condition, treatment…) will also be expected to complete a new medical questionnaire. On completion of the medical questionnaire, patients will be automatically redirected to our booking platform where you can choose a suitable/available date and time If your questionnaire shows that you are unsuitable for the weight management programme you will be notified prior to your appointment and no charge.. Some patients may require to attend an initial in clinic face to face consultation with the doctor. The programme is a 12 week course and any prescipbed medications to be taken as direct by the clinic doctor. Patients who routinely miss appointments, do not follow the weight management plan, not lose weight or do not take the medication as prescribed may have their programme terminated. In addition the clinic will monitor the progress of each patient and make a decision based on results to determine the progression of the course.

Patient Portal

All patients who are entered into the Weight Management Service will be expected to set up their Patient Access Portal using the instructions provided via email. This portal allows you to access important health information relating to your program. It will also include helpful tools and resources to assist your weight management and allow you to track your progress.

By registering to use any of our services,

• You confirm that the information you have provide is accurate and complete

• Agree to keep your username and password confidential and to take reasonable steps to protect your online patient record

• Confirm that you are aged 18 or over.

Information and advice

The information, advice and medications provided by Strathearn Health and Beauty clinic doctors is based on the information you have supplied to us. It is your responsibility to ensure that the information is correct. Failure to do so (whether intentionally or not) will affect the information, advice, and medications we prescribe to you, which may have consequences for which we are not responsible. Our clinic doctor may require additional information from a patient before deciding to provide the service. We try to reply to all patient emails within 72 hours, excluding public holidays or clinic closure days.

In Clinic Appointments

Patients who opt for the in clinic appointments as part of their weight management programme will receive an email and text notification confirming their appointment including the terms and conditions of attending the clinic. A further reminder text will be sent 24hrs prior to your appointment. All patients attending the clinic will be expected to pay close attention to our current COVID-19 rules.

Online Appointments

The online service is only available to patients who have attended the clinic on their first appointment. Patients who opt for online appointments will receive an email and text notification confirming their appointment. A further reminder text will be sent 24hrs prior to your appointment. All patients are expected to be available and in a suitable location to answer confidential medical questions at the time of their online appointment. If the patient is in a location which is unsuitable and/or cannot answer the doctors questions the doctor may wish to conclude the consultation at another time which you maybe charge for another consultation. Blood pressure monitor and weight scales must be available at the time of your consultation to supply readings to the doctor. A blood pressure monitor can be supplied by the clinic as part of your initial weight management programme, (replacements can be purchased directly from the clinic). Patients unable to provide blood pressure and weight readings at the time of the consultation will not be allowed to proceed with the appointment but you may still be charged. We would remined all weight management patients these appointments are with a qualified doctor.

Verifying your identity

Photo ID may be required for verification of all new patients on their first visit to the clinic. Photo ID will be required on all new Medical Questionaire forms. Current patients are not required to provide Photo ID. Exsiting patients who have not attended the clinic in the past 12 months will be required to register again as a new patient, with Photo ID.

Follow up:

The clinic doctor or member of the staff member may contact you after using the service accessing your treatment/service or for feedback. We would appreciate if all patients can give feedback which will help us improve the service. From time to time we use anonymous patient information to carry out clinical audits and help improve patient and clinical care.

Payments

Patients can opt to pay for their weight management treatment in one full payment or instalments based on their return appointments (2 weekly or 4 weekly). To limit no shows and to increase availability of appointments there will be a £30 deposit added to the initial booking of instalment-based programmes. This deposit will be credited to your final instalment on successful completion of the full course. The £30 deposit is non refundable if you have failed to attend or cancel any scheduled appointments (as per our cancellation policy). Patients who have paid in full but fail to attend or cancel a scheduled appointment with less than 48hrs notice will forfeit any costs/fees associated with that appointment. If a patient cannot continue with the programme due to medical reasons (clinic doctor will advise) and has paid for programme upfront in full a credit will be given less any costs the clinic has incur i.e booking fees etc.

Continuation of Programme

After intial consultation appointment of the 12 week programme the clinic will re book the patient for next appointment (either 2 weeks or 4 weeks depending on the prescription supplied). If after appointment is booked and its not suitable time the patient can change it by logging onto their fresha account, this can be preformed anytime up to 48 hours prior to booked appointment.

Processing Payments

When booking an appointment patients will be required to open their own account in Fresha, patients are advised to keep their user Id and password safe. Once a patient has signed up to Fresha they will have access to book and change appointments as per the terms. All payments are taken via our online booking agent website or app (Fresha) and as such, all patients are bound by the terms and conditions of service of these companies. Fresha Security Information re their website. "At Fresha, we take security very seriously. Your data is your data (not ours) and will not be shared with anyone or any third parties. All user data is securely backed-up every 5 minutes on Fresha’s encrypted cloud database, our system uses SSL security and our hardware has top of the range firewalls". 

Appointment Cancellations

Patients have the right to change their mind and refuse treatment at any stage. If you decide to cancel your treatment or change to another date, this must be done at least 48 hours prior to your scheduled appointment. Booking changes within the cancellation period may be done by contacting the clinic on 0141 333 1900 or via the Fresha booking site/app (used to book your appointment). Any changes to your scheduled appointment must fall within one week of the original scheduled date, if patients are unable to attend a rescheduled appointment within one week of the original the treatment programme will be cancelled. If you cancel or request a change less than 48 hours prior to your appointment you will forfeit the £30 deposit fee if paying by instalments or in the case of paid in full bookings you will lose any fees associated with the missed appointment. Strathearn Health and Beauty reserve the right to reject any booking.

Medications Receipt/Delivery

Strathearn Health and Beauty dispenses and packages all clinic prescribed medications.Patients attending the clinic may take receipt of the medication at the end of their consultation. Patients using the online consultation service will have their medication delivered in a secured sealed package using a special courier. All deliveries are dispatched within 7 working days of consultation, once per week batch processed by clinic and dispatched for next day delivery by the authorised courier. Patients are sent an email by the courier day of delivery with estimated delivery time (patients are required to check their emails). On receipt of parcel, contents should be checked, any discrepances or lost packages to be reported to the clinic within 24 hours on 0141 333 1900 or by email [email protected] All packages must be received by the patient or authorised person and cannot be left in a “Safe Place”. *A signature will be required for all medication delivered. (*Signature is not required during COVID-19 restrictions.). Courier company may take picture of the delivery.

We encourage all our patients to consent to two way sharing of their clinic treatment and any prescribed medication with their GP. Services are provided using secure cloud-based technology with top end encryption. No data uploaded by the patient will be printed, downloaded, or otherwise copied onto hard copies or portable media. We would encourage all patients to ensure that the security on their personal devices are up to date and that working antivirus is installed and with the latest release. In order to provide online services, Strathearn may use 3rd party software or apps.

By signing up to the services the patient has given consent to receiving communications via email and/or SMS relevant to their treatment.

Laser Treatments Terms and Conditions

All our Laser Treatments are based on a course of multiple sessions. These courses will be carefully developed to assess patients and achieve the best results, as such, full adherence to these treatment courses is essential for patient safety and to achieve best results.

The laser treatment service involves information, advice, and treatment. All our patients while having laser treatment at our clinic are monitored to ensure patient safety and best possible results. The service is provided by qualified practitioners. Strathearn Health and Beauty is registered with Healthcare Improvement Scotland (regulatory body for independent healthcare providers).

Booking

Patients are required to complete a medical questionnaire with an up loaded Photo ID in order to access their suitability for the treatment. Patients who have paid in full but failed to attend or cancel a scheduled appointment with less than 48hrs notice will forfeit any costs/fees associated with that appointment. If a patient cannot continue with the programme due to medical reasons (clinic practitioner will advise) and has paid for programme upfront in full a credit will be given less any costs the the clinic has incur i.e booking fees etc.

If your questionnaire shows that you are unsuitable for the Treatment you will be notified prior to your appointment and no charge will be made against your payment method.

Consent to Treatment

By booking or confirming bookings with Strathearn Health and Beauty you are consenting to all Terms and Conditions of the treatment. It is the responsibility of the patient to inform Strathearn Health and Beauty prior to your appointment, ANY changes in your circumstances that might affect your treatment.

Patients have the right to withdraw consent to treatment at any time.

Nutritional Supplement

Strathearn Health and Beauty offer Vitamin B12 Injections as a nutritional supplement only. We do not test for Vitamin B12 deficiencies or related conditions. Patients who do require Vitamin B12 injections for medical reasons may still get Vitamin B12 Injections, however these bookings must be accompanied by a referral letter from a GP or healthcare specialist. Strathearn Health and Beauty may request a scan/copy of your referral letter prior to your appointment, and this may be held on your patient file. All records are covered by our data protection and privacy policies.
